How can I add employees to Workup?

Your administrator can add new users to Workup (up to your user limit) from the Admin-Users page. This will create the user with a default password and send an invitation to the user to login; they will need to change their password on first login. Creating a user will also create associated Employee and Resource views of the user.

What's the difference between a User, Employee and Resource?

As Workup can store a lot of data about a particular user, we have split the views of a user into 3. The User view is primarily the user's login details. The Employee view are employee details such as contracts, skills and personal details. The Resource view manages details relevant to scheduling and managing the user on projects such as availability, working hours etc.

How Does Workup Manage Leave?

The People module has comprehensive, self service leave management for all types of leave. A user can request a period of leave which can be approved by their manager. Workup calculates and manages entitlement based on the employee contract.

How can I manage the employee lifecycle within Workup?

Workup supports the concept of lifecycle events to record major events during an employee's time with the company. The lifecycle events are configurable as Event Types and can be associated with a workflow if there are a set of tasks to complete. Lifecycle events could include new starter, change of role, disciplinary event, promotion and leavers.

How do I handle temporary staff/resources within Workup?

You can create various type of Employee within Workup. Employees are first created as a User which creates the Employee and Resource records. You can set an Employment Status when creating a user which can be one of:

  • Contract

  • Full Time

  • Part Time

When creating a Contract user you can also associate them with a Supplier.

You can also create Associate users which have limited access to the platform and are appropriate for contract or external employees who only use the platform on an occasional basis.

How are leave entitlements calculated?

Leave entitlements are based on the employee's current contract. If a contract has not been created then entitlements will be based on organisation defaults which are configured on the Admin-Org Settings page. For each employee, you can define the following on their contract:

  • Paid leave per year;

  • Hours per week;

  • Paid sickness per year;

  • Max Carry of leave to following year;

Can I store Documents in Workup?

Yes you can. Documents can be stored against employees, projects, companies and contracts. Document storage is only available in our Professional tier.

Is Workup a Complete HRIS Platform?

Workup provides the main functionality that most small companies require in a HRIS platform and is simple to set up and use and promotes employee self service. Workup includes the following key features for managing employees:

  • Leave management

  • Employee directory

  • Company structure and hierarchy

  • Employee lifecycle events

  • Salary, payments and commissions

  • Employee contracts

  • Expenses

  • Team management

Do you Support Payroll Processing?

Workup supports the recording of working hours, salary and other payments but does not generate payroll payments nor support an interface with a payroll provider. This is functionality that will be available in the future.

Do You Support the Recruitment Process?

Workup supports employees from the date of employment so does not directly support the recruitment process. We will be providing an interface to a number of ATS (Applicant Tracking Platforms) in the near future.

Do You Support Benefits Management?

Workup does not currently support benefits management and would recommend a specialised supplier for this.

Can I Manage Expenses In Workup?

Yes you can. Employees can raise expense claims in Workup which can be optionally linked to a Project if they are payable by a client. Administrators com record payments to an employee. Employees can raise expense claims via the My Status page or from the People-Expenses page. The Expenses feature is only available in our Professional tier.
